The Estes Valley Community Center is a great place to host your next birthday party, baby or wedding shower, seminar, corporate meeting, holiday celebration, wedding reception or other special event! The Community Center has more than 4,000 square feet of facility rental space. The three multi-purposes rooms are attractive, well designed spaces, which can be rented individually for small meetings or parties, or can open up to one large room with hardwood dance floor to accommodate 200 people. The classroom has tile floors and a built-in audiovisual system making it the ideal setting for small group meetings.
Spaces are available to rent on an hourly basis. Tables and chairs are included in the rental and will be arranged according to the event setup form provided by the renter.
Ongoing room rentals now being accepted for February 2018 to December 2018
Estes Valley Recreation and Park District is now accepting ongoing room rentals for 2018 at the Estes Valley Community Center. Ongoing room rentals are meetings or activities that occur on a weekly, bi-weekly or other regular basis. The priority deadline is Friday, September 15, 2017. Our goal is to accommodate all room rental requests. Many groups, however, request the same room during the same time. Following the application deadline, staff will review all room requests and allocate rooms as fairly as possible. Occasionally, users may be asked to modify their schedule.
EVRPD will begin taking applications for single-use functions on Monday, September 16, 2017. Rental requests for a particular day and time may be made within one year of the actual date. All rentals are scheduled on a first-come, first-served basis.
*During off peak hours either a multi-purpose room or a classroom will be available at a discounted rate to Estes Valley community groups, churches and government agencies. Peak hours are any time after 4:00 p.m. Friday through Sunday.
Rental requests for a particular day and time may be made within one year of the actual date. All rentals are scheduled on a first-come, first-served basis. A facility-use application must be completed in full to start the process. All events scheduled at the EVCC will be held to the hours contracted. If the renter exceeds the contracted time of the rental, there will be additional charges incurred. Events must be completed by 11:00 p.m. and the facility must be clean and vacated by 12:00 a.m. Rental of the community room(s) or classroom does not include usage and/or admission to the community center.
A damage/cleaning deposit secures the room reservation. Room deposits are due at contract signing. Final payment is due 30 days prior to activity date. If the meeting or event is booked inside of 30 days, then full payment is due when the event is booked. Failure to pay 30 days prior to rental date will result in the cancellation of rental agreement. If the deposit is to be refunded, the deposit will be returned to the initial payer within 2-4 weeks after the rental. Damage deposit requirements vary by the room rented.
Cancellations and Refunds
Renters may receive a full refund up to 30 days prior to the rental date. If the event is cancelled within 30 days, a 50% refund will be given. No refunds will be given within 14 days of the rental.
A facility supervisor must be present during all facility rentals scheduled for non-operational hours or as deemed necessary by the Community Center Operations Manager. One (1) supervisor is required per 150 guests. Additional fees apply.
A commercial kitchen is also available for rent on a first-come, first-served basis. The kitchen can only be rented to one (1) party at a time and is available for a $75 user fee and $100 cleaning deposit.
Tables and chairs are included in the rental and will be arranged according to the event setup form provided by the renter. The setup must adhere to fire code and must be approved by community center staff. Event setup form is due in no later than one week prior to the event. If the form is not turned in by the renter, the layout will be determined by the community center staff. Once the setup is completed, any changes are the responsibility of the renter. Linens are not included.
The Estes Valley Community Center is able to provide your group with audiovisual equipment. Additional fees and deposits apply.
Parties requesting alcohol at their event must receive approval from the Town of Estes Park when the reservation date is confirmed. Cash bars are only allowed for groups with non-profit status. Serving and consuming alcoholic beverages and food is restricted to the room(s) rented.
