DEHS database transition
This page is your source for information during the transition to the Accela Civic Platform. We will be updating this page as new information becomes available.
The following is a link to a generic video demonstration of the Accela Civic Platform. The first 12 minutes show the Citizen Portal, which will be a future phase for us. Please be aware that the video may show some features or screens that are not part of this project, and it will not show any Colorado-specific fields or workflows.
- We have delivered the data to be migrated.
- Accela is working on configuration of the Retail Food fields and scripts.
- We will be fast-tracking Retail Food so that it is live before invoicing in December.
- Please work with your IT sections to remove the old program from your computers (instructions are below).
These documents will help you during the transition.
Yes. Each facility license will have its own new Accela number. However, there will be a field in the record to reference the old Firm ID.
No. We are redesigning the renewal form to be on 8 1/2 x 11 size paper. This will be printed out from the new system with fields pre-populated.
Training will be prior to the launch of the new system. We are still anticipating launch to be in the next couple of months.
You will be using paper forms from 6/24/16 forward. CDPHE will be providing retail food, child care and school inspection forms to our local partner agencies.
What do I do with my paper inspection forms?
Keep track of them. Everyone will be using those as training materials.
We recommend that between 6/27 - 6/29/16 you download your information into a spreadsheet, where you can keep track of new facilities, closed facilities or any changes to facility/owner information. Remember that you will be in charge of keeping track of your data. Do not worry about giving new Firm IDs.
We did the annual risk based calculation on 6/24/2016. If you have questions or issues regarding the new scoring, contact us.
All counties should have a template of the retail food license that they use for temporary events. Use that for new licenses during the interim period, but be sure to keep track of your inventory of new facilities.
