Notary Journal Storage
With the passage of Senate Bill 2017-132, effective as of July 1, 2018, the Colorado State Archives is now a journal storage option for notary publics that have resigned or have had their commission expire.
If a current or former notary dies or is adjudged incompetent, the notary’s personal representative, guardian, or any other person knowingly in possession of the notary’s journal can transfer the journal(s) to the Colorado State Archives as well. By law, the retention period for notary journals is ten years after last entry date. The Colorado State Archives will store and provide access to the journals until the retention period has been met. The journal(s) will be properly destroyed the retention period has been met.
If you would like to deposit your journal(s) with the Colorado State Archives, please fill out the Notary Journal Deposit Form (click here for PDF) and include the form when mailing the journals to us. Failure to include the form may result in the journal(s) not being accepted and consequently disposed of.
