Kronos
is a vendor provided Timekeeping/Leave Tracking system.
The Kronos system was implemented as a pilot project in July
2001 as a result of a New Century Colorado (NCC) and the Governor's
Office of Innovation and Technology (OIT) recommendations that the
State of Colorado acquire and implement in phases an Enterprise
Resource Planning (ERP) system to integrate all of the State’s
human resource and financial management information systems into a
single system. More, specifically, the recommendation was the State of
Colorado should implement a centralized timekeeping system for all
state entities. By implementing a centralized system, the State
would be able to centralize labor force timekeeping and seek
consistent standards and compliance in performance, accuracy and
accountability.
The
Kronos system is linked into three statewide systems using imports
and extracts. On a
nightly basis, daily additions (new employees) and changes to our
Employee database (EMPL) are imported into Kronos.
On a bi-weekly and monthly basis, employee hours and related
accounting distributions are extracted for Kronos and imported into
the States Payroll system (CPPS).
These hours and accounting distributions are also sent to the
States financial system (COFRS) for redistribution.
The two
pilot departments were the Department of Public Health and
Environment and the Department of Natural Resources.
In April 2003, these two departments underwent a major
conversion to Kronos newest version of their Timekeeping/Leave
Tracking system. This version allows for much greater access and functionality
using the Web. Due to
the success and the planned roll-out of the project, four additional
departments are in various stages of implementing Kronos: the
Departments of Public Safety, Law, Labor & Employment, and
Personnel and Administration.
