The Applicant Data System(ADS) is an information system where job
applications, test, and vacancy information for state government,
classified job openings are maintained. All applicants for job
openings in state government complete a job application which is
entered into ADS. The system then tracks an applicant through the
entire selection process until appointed to a position or until
their application expires.
Applicant Information
Job applications are entered via on-line edit screens and are
updated real-time which provides users with current information
about the applicant pool at all times. Applications may be updated
as needed to keep the information accurate. Jobs are announced as
openings occur and applicants may apply using the Demographic
Information Form and Application for Announced Vacancy. Applications
will be accepted only at the agency identified in the announcement.
Test Information
During the selection process, an applicant may be required to
complete one or more tests to determine merit and fitness for a
given position. ADS provides a test scheduling function which allows
all applicants for a position or class to be scheduled for a test at
one time. The system also permits test answer sheets to be
automatically scanned and scored once the test is completed.
Vacancy Information
When a vacancy occurs for a classified position, the education
and experience requirements and other pertinent information about
the job are entered on-line. The applicant database can be searched
automatically to generate a list of all applicants who meet the
requested criteria. Applicants who are eligible are ranked according
to test scores received and may then be referred to appointing
authorities for interviews.
Other Information
In addition, ADS stores information related to education and
experience requirements for the more than 700 job classes in the
classified system.
Reports and Letters
There are currently 14 letters and 36 reports which are generated
by ADS and may be requested, as needed, on-line. In addition, many
of the letters are generated automatically by the system when the
related information is entered into the system. For example, when a
test is scheduled, a letter is generated automatically for each
applicant who is scheduled. Many of the reports which are available
can be viewed on-line. All of them may be printed.
The ADS system was developed in-house using Natural and ADABAS
and implemented in April, 1992. It interfaces with the Colorado
Employee System
