Email Filing (for use if you have not created an E-Filing Portal Account)

An option being provided on a voluntary basis is the ability to file a number of different filing requirements electronically to the Division. This should provide additional ease in submitting documents without the encumbrance of printing and shipping.

 

Below are the requirements when submitting electronic budget documents to the Division:

 

  • PDF Documents only

(Please do not protect the document from review, printing, and saving.)

 

  • All regular signatures should be included in the PDF document.

(either scanned or signed electronically)

 

  • Please submit only one local governments document per email

(do not attach multiple governments files, e.g. XYZ Metropolitan District 1-11 documents).

 

  • Please follow the Naming Convention (below)

 

  • Please indicate within your email message if there are any other local government budgets incorporated within a budget Please add the LG ID # of any additional government incorporated within the general budget.

(e.g. urban renewal authority within the general city budget; or pest management district within a county budget).

 

  • If a document is more than 13 megabytes in size it will have to be broken up and sent in pieces. 13 mb is the largest file size that can be handled by the division's email boxes. Division staff can reasemble multiple numbered.PDF files into an intact document.

Naming Your Document

 

When naming your document, for ease of handling and filing we ask that you use a particular naming convention. When you save your document you are prompted to add a name to save a file; please follow this format :

 

[Official Name of Government] (LGID#) [Year] [Kind of document].pdf

 

Examples of the format:

 

Denver, City of (16002) 2012 Budget.pdf


Louisville, City of (07029) 2011 Forfeiture & Seizure Report.pdf


Boulder County (07003) 2011 Q2 Public Trustee Report.pdf

 

Aberdeen Metropolitan District No.1 (65180) May 2010 CER.pdf

 

  • The official name of the government is that which appears on the formation documents of the government (charter, court order, etc. look yours up here).

 

  • The LGID is a five digit number assigned to each district by the Division of Local Government when each district is created in our system. This number never changes from the creation to the dissolution of any local government. This number can be looked up here.

 

 

  • The year will be the year that the document covers for filing; also add the month for election filings (e.g. 2007 budget, 2009 Q3 Trustee Report, May 2010 Certified Election Results,etc.)

 

 

  • The kind of document is just that. Using the word Budget, Audit, Forfeiture and Seizure Report, Certified Election Results (or CER), Notice of Cancellation (or NOC), or other type of document.


 

Any filing should be in a PDF file format. This ensures a level of security and ease of handling.

Your District's LGID Number

 

When submitting your docuement to the Division of Local Government we ask you to include your district's Local Government Identification Number (LGID). This is an individual five digit number that has been created for each district that is avaliable on our website here. We utilize this number to help track business activites and other submissions that local governments send.

 

We ask that this be included in both the name of the file that is submitted, and within the subject line of the email that contains the attachment.

 

If you look through our records and can not find your Local Government in the list, please contact us as there may be missing formation documentation or other records.

Attach the appropriate file that has been named per the naming convention and send. (You may also want to look at the properties of the message to ensure it is below 13mb)
